Nestlé India Cuts Manual Invoice Processing Time by 60%

Nestlé India's accounts payable team handles 3,000+ supplier invoices a month, about 80% of them from a single major supplier. They arrive as dot-matrix prints, structured Excel files and multi-format PDFs, through email and web uploads, and the validated data goes into the company's proprietary enterprise portal. The users are the AP team and the warehouse team, and Neil runs in the company's own cloud.
The Challenge
Most of the invoices came from one supplier, and that supplier printed them in a near-illegible dot-matrix format. OCR failed on them, so AP clerks squinted at faded text and rekeyed the data by hand. The rest of the flow was no tidier: invoices arrived by email, web upload and Excel, and each channel needed its own handling. The company's portal demanded exact data, but the process was anything but exact. IGST had to be split into CGST and SGST by hand, which invited errors, and nothing linked the extracted data back to its source document, so there was no audit trail. Delays led to payment disputes and strained supplier relationships, manual errors invited audit scrutiny, and the AP team, buried in repetitive work, had no time left for anything strategic.
The Solution
Nestlé India implemented Neil, E42's AI co-worker for accounts payable, which combines intelligent document processing with AI workers that run the process end to end. Rather than force OCR onto prints it could not read, Neil takes dot-matrix invoice data in through a structured Excel upload. Service invoices from Gmail and inventory invoices from web uploads now run through a single flow. A rule engine splits IGST into CGST and SGST automatically, and Excel files with formatting problems are processed line by line instead of being rejected outright. Every extracted data point is tied back to its source PDF, and validated data goes into the company's portal through custom APIs, which removed the double entry. Invoices route to approvers by role, based on predefined business rules, and dashboards show AP metrics in real time.
